How our AI agent uses your data
AI agent may process your information during an interaction on our site.
JamesBot is our automated sales assistant. It greets you in the chat, asks questions to understand your needs, and classifies your enquiry (service type, budget, timeline, etc). Once qualified, your conversation is forwarded to our human sales team. JamesBot does not make final decisions: a person always follows up.
If your project requires a scoping assessment, the agent analyses your description, may ask clarifying questions, and produces a preliminary estimate of hours, cost, and timeline. The estimate is shared internally with our sales team, who will reach out to discuss next steps. It is indicative only and does not constitute a binding offer.
Your conversation with our AI agent is forwarded in full to our internal sales team. No separate interface is required on their end: they receive the complete context to follow up with you.
How we use your data
We use the information you provide solely to operate our services and communicate with you:
- To respond to your enquiry and provide a project estimate
- To qualify and route your request to the appropriate member of our team
- To follow up regarding a potential engagement or proposal
- To improve the accuracy and quality of our AI agent
- To maintain records of communications for business purposes
- To comply with legal obligations where applicable
We do not use your data for advertising, profiling, or automated decision-making that has legal or significant effects on you.
Data storage & retention
Your data is stored securely in our database (Supabase or equivalent). We retain conversation and lead data for as long as necessary to fulfil the purpose for which it was collected.
Sharing your data
We do not sell or rent your personal data. We may share it only in the following limited circumstances:
- Internal team: your conversation is forwarded to our sales team to follow up
- AI providers: message content is processed by LLM APIs (e.g. Anthropic Claude, OpenAI) to power our agent — governed by their respective data processing agreements
- Infrastructure providers: hosting, database, and chat platform vendors who process data on our behalf under data processing agreements
- Legal obligation: if required by law, court order, or regulatory authority
All third-party providers are required to handle your data securely and only for the purpose of providing their service to us.
